Your records are stored electronically using Jane App, a Canadian-based practice management platform that uses industry-standard encryption and security measures. We use Google Workspace for general business communication, which may involve the transmission of non-clinical information by email.

We retain your records in accordance with Alberta law and the College of Alberta Psychologists, typically a minimum of 10 years from the date of last service, or 10 years after a minor client turns 18.

7. Virtual Sessions

We offer virtual therapy sessions using secure, encrypted video platforms. While we take all reasonable steps to ensure the security of virtual sessions, we cannot guarantee complete security over the internet. By participating in virtual sessions, you acknowledge and accept these inherent limitations.

8. Disclosure of Your Information

We do not sell, rent, or trade your personal or health information. We may share your information only in the following circumstances:

  • With your written consent

  • With insurance providers for direct billing purposes, as authorized by you

  • As required by law or court order

  • In cases where disclosure is permitted under the HIA without consent

9. Your Rights

You have the right to:

  • Access your personal and health information held by us

  • Request corrections to inaccurate or incomplete information

  • Withdraw consent for the use or disclosure of your information, subject to legal and professional limitations

  • File a complaint with the Office of the Information and Privacy Commissioner of Alberta if you believe your privacy rights have been violated

12. SMS / Text Messaging

Pivotal Psychology Ltd. may communicate with clients via SMS text messaging for general conversational purposes, including answering questions and providing support.

Data Sharing

• Customer data is not shared with 3rd parties for promotional or marketing purposes.

• Mobile opt-in and consent are never shared with anyone for any purpose. Any information sharing that may be mentioned elsewhere in this policy excludes mobile opt-in data.

Pivotal Psychology Messaging Terms and Conditions

1. The messaging program consists of general conversational messaging to answer questions and provide support to customers.

2. You can cancel the SMS service at any time. Just text 'STOP' to the phone number from which you received messages. After you send the SMS message 'STOP' to us, we will send you an SMS message to confirm that you have been unsubscribed. After this, you will no longer receive SMS messages from us. If you want to join again, just sign up as you did the first time and we will start sending SMS messages to you again.

3. If you are experiencing issues with the messaging program you can reply with the keyword HELP for more assistance, or you can get help directly at contact@pivotalpsychology.ca.

4. Carriers are not liable for delayed or undelivered messages.

5. As always, message and data rates may apply for any messages sent to you from us and to us from you. Message frequency will vary based on communication needs. If you have any questions about your text plan or data plan, it is best to contact your wireless provider.
